Veritenza is a task-mining service. Companies install the Veritenza desktop app (Mac and Windows) or the Veritenza Chrome extension (Chromebooks) on their staff's computers to understand how work is done and where it could be automated. This policy explains what Veritenza collects, why, who can see it, and how long it is kept. The company that deploys Veritenza decides how it is used for its staff and is responsible for telling them.
Google sign-in
When you sign in with Google, Veritenza receives your name, email address and profile picture. They are used only to identify you, to place you in your company by your email domain, and to show your name to your company's administrators. Veritenza does not request access to your Gmail, Drive, calendar, contacts or any other Google data, and does not use Google user data for advertising.
What the desktop app records
- Always recorded: which application and window is in front and for how long, web page addresses without anything after a “?”, the labels and types of buttons and fields you click, the names of keyboard shortcuts (such as copy and paste), and how many keys you type.
- Recorded unless your company switches it off: each of these is on by default (call audio only during calls), and a company administrator can switch any of them off, for the whole company or one department. The Veritenza app lists the ones that are on under “What Veritenza records”, and tells you when the list changes.
- scrolling, copying (that something was copied, not what) and time in calls;
- text on screen: either labels only (headings, field names, column headers), or the visible text of the window in front;
- text read from the screen where apps don't expose it, such as remote desktops;
- the text you type, and the text you copy;
- screenshots of the screen in front;
- audio of calls (your microphone and the call's sound), turned into a transcript.
- Never recorded: passwords and anything typed into password fields, private (incognito) browser windows, the lock screen, and apps or windows your company excludes, which are recorded by name only. Password managers are skipped entirely. Nothing is recorded outside the work hours your company sets.
- Removed on your computer before anything is stored: email addresses, phone numbers, card and bank numbers, Aadhaar, PAN and similar identifiers, and passwords or keys, in window titles and in any text recorded. In screenshots they are painted over before the picture is saved. Your company may also choose to keep only website names, or only application names.
- Device status: whether the app is running, and when the computer shuts down, sleeps or wakes, so administrators can see whether recording is working.
On Chromebooks: the Chrome extension
On a Chromebook, Veritenza is a Chrome extension and records the same things for work done in the browser: which site and page is in front, the labels and types of what you click, shortcut names and how many keys you type, and when you are idle or the screen is locked. If your company switches them on, it also records the same optional items as the desktop app, except text read from images and audio: text on the page, typed and copied text, scrolling, copying, calls in Google Meet, Teams and Zoom on the web, and screenshots of the tab in front. It never reads password fields, does not run in incognito windows, and records only the name of sites your company excludes. When an app outside the browser is in front (an Android or Linux app, or the Files app), it records only that another app was in use, not which. The extension sends what it records only to your company's Veritenza service.
The use of information received from the extension adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements: it is used only to provide the work analysis described here, it is not sold, not used for advertising or credit decisions, and not read by people except as described under “Who can see it”.
How it is used
Recorded activity is sent to Veritenza's servers every few minutes. There it is grouped into tasks and analysed, including by an AI model from the provider your company has chosen (OpenAI, Anthropic or Google), under that company's own agreement with the provider. The result is analytics and reports for your company's administrators. Reports for teams, departments and the company refer to people by pseudonyms, not names.
Who can see it
Your company's administrators, and Veritenza's operators for support and running the service. Text, screenshots and transcripts can be opened only by administrators your company has given that right, and Veritenza's operators cannot give it. Every time an administrator opens a person's recorded activity or content, it is written to an audit log. Veritenza does not sell personal data and does not share it with anyone other than the AI provider your company has chosen and the hosting providers that run the service.
How long it is kept
Raw activity is kept for the period your company sets (365 days by default), then deleted. Recorded text is kept for 30 days and screenshots and call audio for 30 days by default; call audio is deleted once it has been transcribed unless your company chooses to keep it. Reports are kept until your company deletes them. When an administrator removes a person, their computers stop sending data at once, and their raw activity is deleted within a day.
Your choices
You can quit the app at any time (on a Chromebook, sign out from the Veritenza icon, unless your company manages the device); your administrator is told that it stopped. To see, correct or delete data about you, ask your company's administrator or contact us below.
Security
Data is sent over encrypted connections. API keys for AI providers are stored encrypted. Access to the admin site requires Google sign-in.
